BCL were appointed to assist Roebuck Productions with the Pizza Express Annual Conference at Manchester Central Convention Complex on Wednesday 23rd March 2018. As part of the conference package Roebuck Productions offer their client a unique luggage transportation service to give the delegates a hassle-free experience.

The numbers alone were daunting with 827 delegates spread across 7 city centre hotels. BCL, who usually handle domestic and commercial furniture, had the task of completing this service seamlessly with minimal disruption to the event. At the event entrance there were 7 kiosks set-up for each hotel, each delegate had to take their luggage to the correct kiosk where their bag would be tagged and placed in a numbered cage by BCL staff. Due to the sheer number of delegates, it was important to keep focused and ensure each bag was placed in the correct cage for their hotel.

The Challenges

As each hotel had a massive variation in number of delegates it was important to concentrate the staff at the busy kiosks, and be flexible in case there was a surge for another hotel. The window of opportunity was between 11am and 4pm from the start of delegates entering the event to all the luggage delivered to the seven hotels.

Once all the cages were full and loaded onto the designated vehicle BCL staff transported them to the correct hotel and off-loaded them into the lobby for the delegate to collect it.

The task was completed within time and to the client’s satisfaction with all luggage being delivered to the correct destination. This was the second time we have done a luggage service for Roebuck Productions and based on the feedback we received it won’t be the last.
